Terms of service

These terms govern business use of hiddenhand. The hiddenhand operator named in your order form or pilot agreement is the contracting party.

1. The service

hiddenhand provides event-workspace, document-processing, analysis, collaboration, and saved-result tools. Features may change during a private pilot, but we will not materially reduce a paid service without reasonable notice.

2. Accounts and authorized users

  • Keep account credentials secure and use multi-factor authentication where offered.
  • Invite only people authorized by your organization.
  • You are responsible for activity by your users and for removing access when it is no longer needed.
  • Do not probe, disrupt, reverse engineer, or bypass service limits or access controls.

3. Customer content

You retain ownership of content you upload. You grant hiddenhand the limited rights needed to host, protect, process, and return that content and to provide support requested by you. You confirm that you have the rights and lawful basis needed to submit it.

  • Do not upload malware, credentials, payment-card data, identity documents, attendee health data, or other prohibited or unsupported sensitive datasets.
  • Review supplier and event documents before sharing them with collaborators.
  • Remove content that is no longer required.

4. Analysis and decisions

Results are decision-support materials. They can be incomplete or incorrect and do not replace professional, legal, tax, safety, engineering, or procurement review. You remain responsible for checking source documents, prices, exclusions, dates, obligations, and final supplier decisions.

5. Plans, usage, and payment

Your order form states the billing-account plan, linked-workspace limit, unique collaborator limit, AI-action allowance, processed-source allowance, price, taxes, and billing period. Allowances are shared across workspaces linked to that billing account. Activity by invited users with permission to run processing or AI features uses the billing account owner’s allowance; an invitation does not create a separate allowance. Processing and new AI actions may pause when an allowance is exhausted or payment remains overdue after any stated grace period. Existing data, exports, support, and deletion controls remain available as described in the service.

6. Confidentiality and security

Each party will protect the other party’s confidential information and use it only to perform the agreement. hiddenhand maintains administrative, technical, and organizational safeguards proportionate to the service and the data it is designed to process.

7. Availability and suspension

We may suspend affected access to address a security threat, unlawful use, material breach, or risk to the service. We will limit a suspension where practical and restore access when the issue is resolved. Private-pilot availability is not guaranteed unless your order form includes a service level.

8. Term and deletion

Either party may end a pilot as stated in the pilot agreement. Paid subscriptions renew and may be canceled as stated in the order form and billing portal. On termination, you should export required records and request deletion through the account controls. The retention notice explains deletion timing.

9. Liability

The liability terms in a signed order form or pilot agreement take priority. Where no signed terms apply, neither party is liable for indirect or consequential loss, and hiddenhand’s aggregate liability is limited to fees paid for the service during the preceding 12 months, except where liability cannot lawfully be limited.

10. Governing law

Unless your signed agreement states otherwise, these terms are governed by the laws of England and Wales and the courts of England and Wales have exclusive jurisdiction.
